This Privacy Policy describes how Viirtue Inc. ("Viirtue," "we," "us," or "our") collects, uses, and protects information in connection with Viirtue PTO, our internal time-off and workforce management application, including any SMS/text messaging notifications offered through the service.

1. Information We Collect

We collect the following categories of information from employees and administrators who use Viirtue PTO:

• Account information: name, work email address, employee role, department, and country/location.
• Employment information: start date, accrual policy, PTO balances, and leave request history.
• Contact information: mobile phone number, collected only if you choose to enable SMS notifications.
• Usage information: login timestamps and actions taken within the application, for audit and security purposes.

2. How We Use Your Information

We use the information above to:

• Operate and maintain the Viirtue PTO application, including calculating leave balances and routing approvals.
• Send notifications related to your PTO requests, approvals, denials, and account setup — via email and, if you opt in, SMS.
• Maintain accurate employment and compliance records.
• Provide customer support and respond to inquiries.

3. SMS / Text Messaging Program

If you provide your mobile phone number and opt in to SMS notifications, Viirtue may send you text messages related to:

• PTO request status updates (submitted, approved, denied)
• Daily or periodic reminders about team availability
• Account-related notices

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted under this policy solely as necessary to operate the SMS program described above.

4. How We Share Information

We do not sell, rent, or trade your personal information. We may share information with:

• Service providers who help us operate the application (e.g., our database host and SMS/email delivery providers), bound by confidentiality obligations.
• Your employer's designated administrators and managers, as necessary for approving and managing PTO requests.
• Government authorities, where required by law.

5. Data Retention

We retain employment and leave records for as long as necessary to comply with applicable labor and recordkeeping laws, and for legitimate business and HR compliance purposes, including for employees who have separated from the company.

6. Data Security

We use industry-standard safeguards, including encrypted data storage and transmission, role-based access controls, and audit logging, to protect your information from unauthorized access, disclosure, or misuse.

7. Your Choices

• You may opt out of SMS notifications at any time (see Section 3).
• You may request access to, correction of, or deletion of your personal information by contacting us at the email below, subject to our recordkeeping obligations.

8. Children's Privacy

Viirtue PTO is an internal workforce tool intended for use by employees of Viirtue Inc. and is not directed to, nor knowingly used by, individuals under the age of 18.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated "Last updated" date above.
